Terms & Conditions

ENCOUNTER CONFERENCE REGISTRATIONS

Hillsong Church Australia Ltd atf Hillsong Church Australia (ABN 73 640 782 059) (“Hillsong”) manages Encounter Conference registrations on Hillsong.com. Your purchasing of a ticket to Encounter Conference (“Registration”) is subject to these terms and conditions. If you would like to ask any questions or exercise any rights outlined in these terms and conditions, please contact [email protected].

1. Purchase of Registration: All prices clearly indicate the currency you will be charged and are inclusive of relevant taxes where applicable. You must pay for the Registration at the time of placing your order. Hillsong will issue an invoice to you when your payment has been successfully processed. Payment is by Amex, Visa or MasterCard only. Hillsong is not responsible for any bank fees that may be charged to you by third parties for the purchase of the Registration. Please check your contact details carefully before submitting your order. Hillsong may accept or reject the purchase of a Registration at its discretion, including (without limitation) if the payment method appears fraudulent, or there is an error in the price or description of the Product. If Hillsong rejects your order, we will endeavour to notify you of that rejection. The registration price of the Encounter Conference does not include GST as Encounter Conference is considered a “Religious Service”.

2. Delivery: Upon successfully purchasing the Registration Hillsong via the third-party ticketing system will confirm your purchase of your Registration via email within 24 hours. Should you not receive this confirmation please contact [email protected].

3. Reassigning Registrations: Encounter Conference Registrations are unable to be reassigned.

4. Refunding Registrations: Encounter Conference registrations are available to be refunded until 31 March 2025. All refunded registrations will be subject to an AUD20$ administration fee per registration.

5. Delay, Reschedule or Cancellation of Encounter Conference: Hillsong reserves the right to change any of the published event details and have the final determination on any matter relating to the event. If Encounter Conference 2025 is subject to change, Hillsong will endeavour to notify you within a reasonable time of such changes.

Please note that the Hillsong reserves the right to cancel your registration at any time on the grounds of incorrect, fraudulent or misleading information provided as part of the registration process. We understand that people’s circumstances can change and provide the following alternatives to assist you. Cancellations can be arranged by writing to the Hillsong Youth Office before the event day. Registrations can be cancelled and refunded for an administration cost of $50 per person. From time to time, there may be a need for special consideration of your circumstances in regard to this policy. If this is the case, please contact our office to discuss this further.

6. Recorded Events: All live Hillsong events are recorded. Images of people attending or participating in these activities may be used in our TV ministry, resources, and for other ministry or promotional purposes. By attending Live Events hosted by Hillsong you agree that we may use your image. If you do not or cannot agree to this term, please contact Hillsong.

7. Travel and Accommodation: Hillsong recommends that you confirm your registration with our office prior to booking any flights or accommodation. Hillsong does not accept responsibility for losses incurred for flights or accommodation booked for Encounter Conference 2025. You may also wish to consider taking out a relevant insurance policy to cover any losses in the event of delay, rescheduling or cancellation.

8. Conduct Expectation: Hillsong has a zero-tolerance for attendees who act in any way deemed to be offensive and/or inappropriate. If Hillsong reasonably believes these conduct expectations have not been complied with or if Hillsong reasonably believes you are under the influence of drugs and/or alcohol Hillsong reserves the right to deny entry into or be removed from Encounter Conference. If you are removed from Encounter Conference due to a breach of this code of conduct, you will not be issued a refund.

9. Bag Search: Bags may be searched at the discretion of the event organisers upon departure, arrival, and at any time during the event. The following items are not permitted at camp: knives including pocket knives, scissors, weapons, fireworks and other explosives, drugs & alcohol. Please note this is not an exhaustive list.

10. Copyright Infringements: All content provided by Hillsong throughout the duration of the Encounter Conference is protected under the Copyright Act 1968 (Cth). If it is found that you or a beneficiary of your Registration has used our content in an unauthorised manner, Hillsong reserves the right to pursue any intellectual property or damages claim.

11. Privacy: Hillsong will process and use your personal information for the purposes of fulfilling your order or otherwise permitted or required by law. For more information on Hillsong’s privacy policy, please refer to our Privacy Policy. To request access to your information, or email: [email protected]. The Hillsong Youth Office is unable to process your registration without full registration details and payment.

12. Limitation of Liability: To the maximum extent permitted by law Encounter Conference is provided ‘as is’ and Hillsong makes no warranties, representations, statements or guarantees in relation to this website, the goods and/or services. Hillsong excludes all liability for any loss, liability, damage or expense (whether direct or indirect) which may be suffered by you or any third party, arising from or in connection with your access and attendance to Encounter Conference and any Product you purchase at Encounter Conference. To the extent Hillsong’s liability cannot lawfully be excluded, our liability will be limited, at its option, to the resupply, repair or replacement of the Registration or the cost of such resupply, repair or replacement.

13. Hillsong (including its workers) will take every precaution to ensure the good welfare of and protection of all delegates who are registered for Encounter Conference. To the fullest extent in law, you hereby release and indemnify Hillsong against all liability, loss or damage incurred because of any accident or misfortune, injury or loss to person or property as a result of attending Encounter Conference. Hillsong takes seriously the safety of all delegates and ensures supervision ratios and reporting procedures for safety concerns are implemented.

14. Force Majeure: Hillsong will not be liable for any delay or failure to perform its obligations under these terms and conditions due to events beyond its reasonable control including but not limited to acts of God, change in legislation, the act of any government or competent authority, fire, inclement weather or natural disaster.

15. Severability: If any clause (or part of any clause) in these terms and conditions is held by a court to be illegal, void or unenforceable, that clause (or part of a clause) is to be regarded as having been deleted from these terms and conditions, and these terms and conditions otherwise remain in full force and effect.

16. Governing law: These terms and conditions are governed by the laws of New South Wales, Australia.

17. Survival: 11 (Copyright Infringements), 12 (Privacy), 13 (Limitation of Liability), 14 (Force Majeure), 15 (Severability), 16 (Governing Law) and 17 (Survival) inclusive survive termination.

Acceptance of Terms and Conditions

These terms and conditions constitute the entire agreement between the parties and by using Hillsong’s services and by agreeing to these Terms of Use you agree to bound by these terms and conditions.

ENCOUNTER CONFERENCE 2025 – PARENT/GUARDIAN CONSENTS

By registering my child for Encounter Conference, you warrant that you are a parent or legal guardian of the child registered. You also acknowledge and agree to the following consents:

General Consent

I give permission for my child to participate in all activities associated with the event, including but not limited to games, inflatables, tribal challenges, skateboarding, basketball, and other supervised activities.

Supervision & Transport Consent:

As part of the Hillsong Youth Encounter Conference experience all students will be supervised by their RDG leaders during the duration of the conference including during sessions. The first morning session on day 2 and 3 for youth delegates will be at The Colosseum at Rooty Hill. Parents and guardians have the option to drop their students on their way to Hillsong Conference or purchase an additional bus ticket for transportation for youth delegates from Hills Campus to the youth venue. All student delegates will be bussed to Hills Campus in time for the evening session. The cost of this is included in this registration.

FUEL YRS 7 – 9 ONLY: I being the parent/guardian of the child, take all responsibility to drop off and pick up my child from the program or campus drop off location. No children will be allowed to leave the venue until they are picked up by a parent/guardian at the designated pick up point and time. Failure to do so will result in a late pick up fee of AUD $30.

WILDLIFE YRS 10 – 12 ONLY: I being the parent/guardian of the child, take all responsibility to drop off my child to the program or campus drop off location. Children attending the Wildlife program can sign out at any time, or will be released at the end of the program, at which time you agree to adequately supervise your child.

OTHER LOCATION GROUPS AND SLEEPOVER REGISTERED STUDENTS: Students travelling as a group from other locations or registered for Encounter Conference Travel & Sleepover option will be released from the program into the care of their RDG leaders. During session breaks students may leave the site under the supervision of their RDG leaders. If students leave the care of their RDG leaders, parent/carers will be notified.

Medical Treatment Consent

I authorise first aid to be administered for my child if necessary by appropriately trained first aiders. Every effort will be made to contact me before any medical intervention and before transportation of my child to a medical centre or hospital. I accept responsibility and agree to pay for any associated medical costs, including ambulance fees, medical centre or hospital fees and any other out of pocket costs.

I authorise the administration of Paracetamol if required.
